Extraordiary General Meeting Abington Community out of School Club (GAPS)

At our AGM yesterday evening, Thursday 18th March, 6pm, there were not enough parent/carer representatives from Abington PreSchool to make a quorate vote so a new date for the PreSchool AGM is:

There were also no parent/carer representatives volunteered to stand as committee trustees for Abington Community out of School Club (GAPS) so an Extraordinary General Meeting (EGM) has been called for the same time at:

Thursday 8th April, 6pm, via google meet

It is vital that we have members come forward for election or Abington Pre School and GAPS will not be able to remain open.

Please read below a copy of the letter from the Chair of the Committee providing further information regarding the AGM:

Dear Parent/Carer

I am sorry for the length of this email but it does contain important information about the settings so please take time to read and respond to the contents.

I recognise that as parents your time is limited but it is important for the future of the setting that as many people as possible are present. Important decisions have to be made about the future of the setting and we require members to attend, ask any questions, vote on the proposed changes and stand for election to the committee.

We will be asking you to vote for the dissolution of the current charities and the incorporation of a new single CIO (Charitable incorporated Organisation). This reflects good practice within Childcare and early years settings and we have been advised in this approach by County Council. We will have a representative from County (Alison Morris – Early Years Adviser) available at the meeting to answer any questions you may have. However, in short the transfer of the settings will reduce the liabilities of the trustees and members and will reduce the number and range of trustees required to be elected each year.

Currently we require a minimum of 5 trustees for each setting (GAPS and Pre-school). Generally trustees have sat on both committees. The current trustees are required to stand down at the AGM and we will therefore be asking for new members to step forward. 

I know that 2020 was an exhausting year for all parents and the wider community. However, it is vital that we have members come forward for election or the setting will not be able to remain open.

In order for the new CIO to be established we also require 3 individuals to stand for nomination as trustees for this organisation. They can be the same individuals who stand for election as trustees for the current committee.

Please be assured we will allow time at the meeting for these issues to be discussed and for you to ask questions.
